Ranges Chess Club
Privacy policy
Last updated 1 November 2026
We are a small community chess club. We keep the details we need to run club nights, collect membership fees and stay in touch, and nothing more.
This policy covers this website and the member account area. It is written by Ranges Chess Club Inc. (registration A0047310W, ABN 34 087 978 306), which meets at Belgrave Library, Reynolds Lane, Belgrave VIC 3160.
What we collect
| What | When |
|---|---|
| Your name and email address | When you sign in with Google, or join our mailing list |
| Your Google profile picture | When you sign in, so the site can show who is signed in |
| Mobile number | If you give one on the member form |
| Emergency contact name and phone | If you give one on the member form |
| Player names on your membership | If you add them to your account |
| Membership payments | When you pay online, or tell us you have paid by bank transfer |
We do not run advertising or analytics trackers on this site. There is no third-party advertising network, no visitor profiling and no tracking pixel.
Why we keep it
- To know who is a member and whether their membership is current.
- To reach a parent or guardian if something happens at a club night.
- To send club news and membership reminders, if you have asked for them.
- To keep the financial records an incorporated association is required to keep.
Who else handles your details
Three services do work for us. Each of them has its own privacy policy, and each sees only what it needs.
| Service | What it does for us | What it sees |
|---|---|---|
| Signs you in | Your name, email address and profile picture, which Google gives us when you choose to sign in | |
| Brevo | Holds our mailing list and member contact details | Your contact details and whether you have opted in to email |
| Stripe | Takes card payments | Your card details and payment history |
We never see your card number. Card details go straight to Stripe and are never sent to us or stored on our systems. The payment records we keep for the club's own accounts have the payer's name and email stripped out of them.
We do not sell your details, and we do not pass them to anyone outside the club for their own purposes.
The register of members
The club is an incorporated association, and the law requires its secretary to keep a register of members. The register holds each member’s name, the address they have given for notices, their email address, the date they became a member, and a note where they are an associate member.
Any member of the club may ask to inspect that register, free of charge. This is a right given by the club’s registered rules, not something the club chooses. It also means the name and contact address you give the club can be seen by other members. It is an offence to misuse information taken from the register.
Cookies
We use two cookies, both strictly necessary, and neither used for tracking.
- A sign-in cookie that keeps you signed in to your account. We store only a hashed form of it, not the value itself.
- A short-lived cookie used once during sign-in to check the request really came from your browser.
Signing out clears the sign-in cookie and ends the session on our side.
Children
Junior members are usually signed up by a parent or guardian, and we hold a junior's name and the emergency contact details their parent gives us. A parent or guardian can ask to see, correct or remove those details at any time by emailing us.
How long we keep it
We keep member details while the membership is current and for as long afterwards as our records need to be kept. Payment records are kept for the period required of an incorporated association in Victoria. If you ask us to remove you from the mailing list, we do that straight away.
Seeing and changing your details
- Sign in to your account to see and change your contact details and your payment history.
- Use the unsubscribe link in any club email to stop receiving them.
- Email us to ask for a copy of what we hold, to correct it, or to have it deleted.
Contact
Privacy questions go to the club secretary at rangeschessclub@gmail.com. If we cannot sort something out with you, you can raise it with the Office of the Australian Information Commissioner.
Changes to this policy
If we change this policy in a way that matters, we will say so in a club email. The current version always lives at this address.
